Establishment

Serving faculty, staff and students and engaging the broader external community, The Department of Equity and Inclusive Communities (EIC) fosters the development of an inclusive and transformational university culture where individual distinctiveness and a sense of belonging drive excellence in research, teaching, learning and working at the university.

Equity, Diversity and Inclusion (EDI) have been identified by Carleton’s Board of Governors, Federal Tri-Agency Research Funders, faculty, staff, students, public and private sector employers, and members of the external community as critical to the future success of the university.

EIC wishes to establish an EDI forum for discussion, feedback and recommendation. Bringing together members of the Carleton campus and external community interested in or delivering EDI-related work, the forum will amplify, leverage and strengthen institutional efforts; and will be known as the EIC Advisory Group.

The Advisory Group’s work will complement that of the Joint Committee on Employment Equity and the university Equity Policy Committee.

Member Roles and Responsibilities

Members of the Advisory Group will:

  • Contribute to a community of practice bringing together those working on EDI initiatives across campus and beyond to support, recognize, amplify and harmonize successful approaches.
  • Participate in a discussion of emerging EDI issues on campus with community and / or institution-wide implications for the mission of the university, and propose analytical and operational responses.
  • Contribute to the development and growth of Carleton University’s premiere education and engagement series – Inclusion Week – by proposing themes, providing access to networks and speakers, committing human and other resources, and otherwise supporting planning such that IW comes to be understood and valued as an institution-wide resource.
  • Provide a platform for structured feedback and advisory recommendations to the work of EIC and the university more broadly.
  • Collectively represent a strategic incubator of ideas to advance the integration of EDI throughout all core university activities and beyond.

Membership

General

To stimulate and sustain a culture of pan-university engagement, the EIC Advisory Group shall consist of a broad cross section of staff, students, faculty and members of the wider community. An ideal membership composition would include at least 4 students, 4 staff members, 4 faculty members and 6 members from the external community. The total size of the Advisory Group shall not exceed 30 members.

Prospective members may be directly invited or invited to express an interest in becoming a member through an open call process.

Members, whether directly invited or engaged through an open call, shall be appointed by the University Advisor on Equity and Inclusive Communities and Departmental Director (University Advisor) at the time of establishment, and thereafter by the University Advisor in consultation with the President and Vice-Chancellor.

Co-Chairs

The Advisory Group is chaired by the University Advisor and Co-Chaired by a Senior Advisor of EIC.

Ex-Officio Member

The President and Vice-Chancellor is an Ex-Officio member.

Membership Term

Student members will serve for up to two years of a two-year term beginning in September of an academic year with the possibility of renewal.

Non-student members will typically serve for two years with the possibility of renewal.

Renewal shall be determined by the University Advisor in consultation with the member and the President and Vice-Chancellor.

Frequency of Meetings

The Advisory Group will meet three times per academic year, typically once every fall term (September-December), and twice every winter term (January-April), or as needed based on the requirements of the group as determined by the University Advisor in consultation with members.

Reporting

The Advisory Group shall report to the President and Vice-Chancellor through the University Advisor.

Review

The Terms of Reference are to be reviewed by the EIC every three years in consultation with the members.
